INSTRUCTIONS FOR PRESENTATIONS AND LOGISTICAL INFORMATION 2026
REGISTRATION – February 16, 2026 – REGISTRATION OPENS DECEMBER 2025
You may modify your registration if you used a “ulaval.ca” email account to register. You will also be able to add a poster abstract or an image for the contest.
It is not necessary to log in to the site to submit your registration, abstract, or contest image. However, only logged-in users can modify their registration, abstract, or contest submission. We therefore recommend logging in before submitting.

SPEAKERS
You may use your own computer or one of the “master” computers that will be available. (NeuroQuébec Scholarship Laureates: see next section.)
A lectern will be available on stage from which you can operate your computer. HDMI cables will be provided. The lectern is equipped with a gooseneck microphone.
The projector is recent and supports 16:9 projection. If a 4:3 presentation is displayed, black bars will appear on each side.
If you plan to use the master computer, please bring your presentation on a USB key.
Upon arrival or during breaks (depending on the time of your presentation), you can meet with the student assistant to transfer your file to the main computer.
PRESENTATIONS BY THE 2025 NEUROQUÉBEC EXCELLENCE SCHOLARSHIP LAUREATES
Given the shorter format of your presentations (5 minutes), we ask that you use the master computer (PC) provided.
We also ask that you send your presentation one or two days before the event to the designated student, or upload it onto the master computer before 8:30 a.m. on the day of the event.
POSTER PRESENTATIONS
You may place your scientific posters in the Atrium.
Poster boards will be numbered. Consult the program to find your poster number; it corresponds to your abstract number. Maximum poster dimensions are 45 inches wide by 44 inches high. Posters must be mounted using Velcro, which will be provided on site.
This year, there will be two poster presentation sessions to ensure that all presenters also have the opportunity to view their colleagues’ posters. Posters with even numbers will be presented in the first session (morning), and those with odd numbers in the second session (afternoon). Presenters must be present in front of their posters during their assigned session.
You cannot leave your posters up for the entire day. The event will end with the awards ceremony for the best student posters, followed by a reception at the Université Laval Pub.
PRESENTATION LANGUAGE
The presentation language is at your discretion. Some will present in French, others in English. It is possible to present in French while keeping your slides in English.
EXHIBITOR BOOTHS
Exhibitor booths will be located in the Atrium.
A five-foot draped table (identified with your name) and two chairs will be provided. An electrical outlet will also be available.
You may access the setup area upon your arrival in the morning. Official check-in takes place between 8:00 and 8:30. If needed, the Atrium should be accessible as early as 7:30.
Booth visits occur during coffee breaks, poster sessions, and the lunch period. You may dismantle your booth after the last coffee break or at the end of the talks. Rooms are accessible until 19:00.
INTERNET
As a member of the university community, you can access the eduroam wireless network.
Université Laval also provides a free guest wireless network (UL_Visiteur_Guest). Simply accept the terms of use to connect; no user code is required.
